The Zambia Dairy Transformation Programme (ZDTP) supports smallholder farmers to improve their productivity, milk quality and linkage to urban markets, driving the further commercialisation of the smallholder based Zambian dairy sector.

The Programme is seeking to recruit a qualified and experienced person to take up the role of Programme Logistics Officer

The Programme Logistics Officer reports directly to the Programme Country Manager and leads the provision and coordination of all the logistics and operational support activities, required for the successful operation the ZDTP.

The Programme Logistics Officer provides an important supportive role to the duties of the Programme Country Manager. He/She will be required to undertake a number of operational support, logistics, and goods/services purchasing duties as instructed. The appointee will lead the development and implementation of Programme operational support and logistics systems.

Specific duties

  • Leading the development and implementation of all ZDTP operational support, logistics and purchasing procedures;
  • Management of ZDTP vehicles and motorbikes ensuring all bikes / vehicles are in good working order, legally compliant, regularly serviced, down time of vehicles is minimised and all paperwork completed and filed;
  • Acting as the Health and Safety Focal Point for the Programme and ensuring all Health and Safety documentation is completed in a timely manner;
  • Organising programme events including all logistical arrangements and where necessary, taking minutes;
  • Arranging Programme visits for key technical staff;
  • Assisting in the development of specifications for equipment, materials, and services to be purchased;
  • Collecting quotations for goods and services for the Programme and prepare and follow up on procurement requests;
  • Leading the process for supplier tenders, bids, quotations, and proposals as required;
  • Processing purchase requisitions / orders within delegated purchasing authority;
  • Administering contract performance, including delivery, receipt, warranty, damages and insurance from suppliers;
  • Maintaining strong working relationships with colleagues, management and external providers;
  • Providing operational support for the Programme’s computer and IT systems;
  • Ensuring regular maintenance and prompt repair of office equipment;
  • Ensuring all activities, project documents and reports are completed in a timely manner;
  • Taking joint responsibility for the health and safety of all ZDTP team members at all times; and
  • Carrying out other duties to the required standard as requested.

Qualifications and Experience:

  • Tertiary qualifications in logistics, supply chain management or related field;
  • Comprehensive knowledge and understanding of operational management systems including logistics and purchasing procedures;
  • Prior experience in a logistics, purchasing or operational support role;
  • Experience in office management equipment and systems;
  • Previous experience in a Health and Safety role will be looked upon favourably;
  • Possess highly developed computer skills covering word processing, electronic communications, spreadsheets and the like;
  • Strong interpersonal skills; commitment to team work and to working across disciplines, cultures and stakeholders at all levels;
  • Initiative, attention to detail and known for wanting to do the best and provide practical solutions in difficult situations;
  • Ability to be adaptable and willingness to learn;
  • Strong focus in delivering quality outcomes;
  • Attention to detail, trustworthy and reliable;
  • Good judgement in balancing the need to follow orders and take initiatives;
  • Friendly and positive attitude; and
  • Proficient with MS Office applications.

How to Apply

The Programme Logistics Officer position is a full time position based in Lusaka with some travel to regional and rural areas. The initial contract is for one year with the possibility of extension subject to donor funding.
