Plan International Zambia has Programme Areas (PAs) in; Central, Luapula, and Eastern Provinces including in Lusaka, where the Country Office is located

We are looking for experienced and vibrant self-starters to fill the following positions under the Sponsorship and Gift of Hope Project.

ADMINISTRATON, LOGISTICS AND PROCUREMENT OFFICER – CENTRAL (2), LUAPULA (1) AND LUSAKA (1)

Position Description:

The position will support the procurement of goods and services, manage organizations logistics, administration, transport, company assets and the budget in order to ensure there is value for money within Plan’s procurement process. The Officer reports and works closely with the Procurement and Supply Chain Manager, interacts with suppliers to negotiate for goods and services to be procured in line with the procurement plan. The incumbent gives updates and reports on the program operations and understands the resources required for the different programs and projects.

Responsibilities:

  • Receive, review procurement requests and source using appropriate procurement method.
  • Prepare and Facilitate issuance of approved LPOs to vendors and follow ups to ensure quality delivery of goods and/or services.
  • Process payment and ensure documentation is submitted to Finance in a timely manner.
  • Keep proper and an up to date filing system for all procurement documents;
  • Monitor and follow through on commitments and reporting (GRN, GRIR) as needful;
  • Timely update and enter all related data of purchases into SAP;
  • Timely and accurate submission of all financial documents to SSC Finance by the stipulated date to ensure suppliers/service providers’ payments are done in a timely manner.
  • Responsible for booking tickets and taxis for staff, stakeholders and visitors while ensuring all the relevant approvals have been granted before securing bookings.
  • Maintain a database for all travels and accommodation for staff, visitors and stakeholders for accountability purposes.
  • Assign and manage all vehicles and motorbikes in accordance of PIR fleet management policy
  • Follow maintenance, fuel consumption, and annual inspection and insurance policy renewal of each vehicles and report accordingly.
  • Facilitate processes for clearing imported goods from the air or land ports ensuring that customs regulations are followed, and necessary tax exemptions are obtained.

Educational Qualifications and Experience:

  • Diploma in Procurement and Supply Chain Management, Logistics, CIPS, Business

Management or related discipline.

  • A minimum of 3 years work experience in similar role in a reputable organization.
  • Membership to a professional body (ZIPS, CIPS).
  • Experience in working with local communities and networking with local implementing partners, and private sectors.
  • Understanding of the various Donor Grants procurement rules and guidelines

Competencies:

  • Communicates clearly and effectively.
  • Logistics, supply chain planning and vehicle logistics coordination.
  • Property and fixed asset register maintenance.
  • Good inter-personal skills and ability to work in multi-national, multi-cultural teams.
  • Ability to help teams think through an issue, prioritize and implement activities, and monitor and measure outcomes.
  • Ability to work under pressure, to tight deadlines, with competing priorities and minimal supervision.
