Kwacha Pension Trust Fund is a single employer occupational pension scheme.

The Fund seeks a highly skilled and motivated individual to be part of a dynamic team to fill the position of Property Assistant for a period of six (6) months.

Summary Objectives

The Property Assistant will assist the Property Officer in processing new tenant applications, addressing and resolving tenant issues and complaints, identifying any necessary maintenance and repair works, assisting in marketing the vacant properties and collecting rent from tenants.

Accountabilities for this role include but are not limited to the following:

a) Assist in preparing periodic reports on property management;

b) Assist in implementing and enforcing tenant leases to ensure compliance with all provisions by the tenants;

c) Assisting in the preparation of the annual property budget;

d) Preparing monthly rental status and occupancy reports;

e) Assist in the marketing of vacant spaces including constant follow up with the Estate Agents;

f) Ensure timely renewal of all SLAs with relevant service providers;

g) Processing applications, scrutinizing and assessing carefully, prospective tenants and making recommendations. Conducting tours for property viewing;

h) Ensure that all rental escalations are effected timely;

i) Distributing and collecting leases and ensuring all tenants have upto date leases;

j) Assisting in addressing and promptly resolving questions, requests and complaints from tenants;

k) Promptly identify and reporting any property/ market/ tenancy risks;

l) Conducting regular inspections on properties and assessing the condition of buildings, ensuring empty units are ready for occupation;

m) Assist in preparing the Bill of Quantities (BOQ) – including scope of works for contractors, obtaining quotations for the work, estimating the cost of works and inspecting the work undertaken by contractors;

n) Participation in tender evaluations;

o) Attending to necessary repairs and maintenance matters;

p) Assist in supervision of all contractors and inspection of all work carried out to ensure performance is as per scope of works;

q) Assist with confirmation of the quality of completed works done by contractors;

r) Ensure timely disposal of materials recoverable from repairs and maintenance work and

s) Responding to emergency maintenance or safety calls.

Education/Experience

a) Grade Twelve (12) Certificate with Credit or above mandatory in Mathematics and English and any other three subjects.

b) Bachelor’s Degree in Real Estate Management or other related field and

c) At least 2 (two) years’ working experience in property management.

Skills/Knowledge

a) Demonstration of organizational skills necessary to oversee several different properties;

b) Possess Knowledge of the real estate industry, including market trends, prices, and governing regulations;

c) Excellent written, oral communication, and presentation skills and

d) Ability to work well in a team.
