Administration Officer Armaguard Security Limited

Armaguard Security Limited a leading Security provider invites applications from suitably qualified members of the public to fill the vacant position of Administration Officer.

The successful candidate will be responsible for;

  • To ensure that all call sheets are printed and distributed in good time.
  • To ensure all call sheets bearing new business and terminations are amended accordingly on time.
  • To communicate with your Head of Department and Duty Manager on vehicle faults or delays.
  • Liaise with Workshop on vehicle problems on a daily basis and ensure that alternative plans are made in good time with Duty Manager and Head of Department in order to avoid panic during deployment periods.
  • You will prepare your weekly and monthly report to your Head of Department highlighting all details
  • You will provide a weekly schedule of all deserters and off sick accordingly.
  • You will prepare a daily deployment report to Management, and all concerned.
  • You will ensure to disseminate information to all personnel involved regarding, terminations of services, new business locations, request for guard changes received from customers and all details as may be given.
  • You will provide a by-weekly manpower / audit schedule report to your HOD.
  • You will ensure that all motor vehicles / motor bikes have their daily mileages recorded, proper take over and handovers by drivers is done in accordance with procedures put in place.
  • You will ensure that all manpower requisitions sent out to HR department and replacements received for zones under requests are recorded in the book provided.
  • You will ensure to capture all field requirements recorded in the book provided are typed and shared with Duty Managers and HOD for action.
  • You will make follow up and find out on resolutions made by Zone commanders to every complaint or concern received.
  • Ensure that all Pay Query forms are printed and issued out to Zone commanders and checkers.
  • Ensure that all Pay Query issues received are communicated to Payroll in good time and once Payroll responds, officer involved is given feedback accordingly.
  • You will work hand in hand with Call Sheet Controller by ensuring all call sheets are as per the current locations the company is offering services to.
  • You will liaise with tracking team on fuel issues by ensuring there is no disruption of service.
  • Ensuring that all CUGs for each client are in good working order and report all lost and list all guards involved including force numbers.
  • Any other duties as may be assigned by management or your supervisors from time to time.

SKILLS AND QUALIFICATIONS

  • Grade 12 Certificate with 5 credits or better in Mathematics and English
  • A Certificate in Secretarial, Public Administration or any related field
  • A minimum of one year work experience in a related field
  • Strong analytical skills
  • Strong attention to detail
  • Ability to work under pressure
  • Efficiency
  • Computer Literature
  • Time management skills
  • Clean criminal record
