ASSISTANT FINANCE OFFICER (Lusaka)

Job Purpose

The Assistant Finance Officer will support the day-to-day office accounts. He / She will handle funds in compliance with the financial regulation and procedures, provide management with information for planning, risk control and decision making and provide timely and accurate financial reports.

Specific Accountabilities

  • Processing payments for school fees, accounts payable based on invoice and other programme costs either by cheque or direct bank transfers ensuring that they are made on time and issued or deposited in their correct bank accounts.
  • Deposit cash received from trainings, meetings or travel by staff or stakeholders into designated CAMFED bank accounts timely.
  • Ensure that all details of Bank accounts of CAMFED supported schools, Tertiary institutions, CAMFED District Committees’ and suppliers are verified with support documents are correct and updated in Financial Force regularly.
  • Maintaining all Electronic and hard copy payment requisitions and ensuring they are properly filled and safely stored with correct complete supporting documentations.
  • Making reimbursements of travel and other expenses, after travel and during workshops and assisting in reconciling travel expenses
  • Support analysis and processing of financial reports from Schools, CDCs and other partners. Analysis of disbursement of funds to schools and retirements received thereafter should be updated regularly and shared with District officers on a monthly basics. A consolidated report should be sent to Management every quarter for their information.
  • Follow up of retirements for activities conducted in district by staff and stakeholders should be done every two weeks after disbursements of funds in order for management to be aware of outstanding information
  • Check and collect bank statements daily and ensure that they are accurate and consistent with paid transactions
  • Preparation of weekly cash flow and position.
  • Preparation of weekly payment listing
  • Conducting weekly Petty Cash spot checks
  • Preparation of bank reconciliations
  • Support in budgeting of activities as stipulated in proposals.
  • Support in preparation and posting of journals in Financial Force

Person Specification

  • Robust accounting skills
  • Excellent team-working and relationship-building skills
  • Outstanding ability to work and communicate effectively with colleagues across the international Finance team.
  • Share CAMFED’s core values and ethos of transparency and accountability
  • Bring high levels of energy, proactivity and commitment to the role.

Essential

  • Problem Solving skills.
  • Ability to use Financial Force or SUN systems.
  • Excellent communication, interpersonal and relationship management skills at all levels – from executive and senior management to middle management, peers, external suppliers and colleagues.
  • Proven team player with the ability to assist the development of staff and colleagues of differing technical abilities and skills.
  • Well organised and able to prioritise workload.
  • Experience working as part of a global team.

Desirable:

  • Part ACCA or Part CIMA or Full ZICA
  • Previous experience working with Financial force or SUN systems.
  • Relevant work experience.
  • Must be a registered with ZICA
