What You Can Expect

The incumbent will be responsible to ensure adequate office operations and provide administrative support to the team, as well as facilitating day-to-day activities in the Zambian office and coordinating meetings and all paperwork. Duties will include the following-

  • Support for operating marketing efforts for Southern Africa if needed
  • Coordinate booking and use of boardroom and ensure catering is provided
  • Report faulty office equipment to service providers and ensuring they are restored
  • Ensure all invoices are submitted to icebox on time as soon as they are received in the office
  • Arrange and set up team meetings and customer meetings including the necessary equipment
  • Capture minutes of meetings
  • Arrange and coordinate all international and local travel with Travel Management Team SA
  • File all contracts on time in ICM making sure that timelines, roles and responsibilities are clearly captured
  • Provide general administrative support to BASF Southern Africa
  • Prepare agenda’s for visitors
  • Assist with telephonic queries
  • Purchase the needed office supplies
  • Ensure all relevant contracts, certificates, and statutory fees are in place and renewed in accordance with the Zambian law and BASF policies
  • Support Sales, Marketing and Technical Teams in terms of organisation of marketing events such as field days or participation in exhibitions
  • Support of Accountant legal entity Zambia in terms of using required system to make sure invoices to BASF Zambia Ltd. will be paid on time through RSA
  • Accountable for Marketing Inventory

What We Expect

  • Diploma in Business Administration or any commercial related field
  • Minimum of 3 years experience in a similar role will be an added advantage
  • Excellent communication skills
  • Proficiency in MS Office packages is essential
  • Punctual, dependable and reliable
  • Proactive with the ability to co-ordinate activities across various departments
