Action Against Hunger-USA is part of the Action Against Hunger International network, which provides humanitarian relief in over 40 countries worldwide in the sectors of nutrition, health, water/sanitation, and food security. Action Against Hunger-USA, an independent NGO, currently manages operations in 9 countries: Kenya, South Sudan, Ethiopia, Kenya, Tanzania, Uganda, Somalia Haiti and Zambia. Action Against Hunger-USA has over $110 million in programs, and approximately 1,700 staff based in the various country offices and New York City, Washington D.C and Horn and East Africa Regional Office in Nairobi.

Action Against Hunger is sourcing for a qualified and experienced Administrative Officer to support the operations of the Zambia Country Office. The Administrative Officer will perform a wide range of administrative and office support activities for the department and/or managers (Logistics, Finance and Human Resources) to facilitate the efficient operation of the Zambia Office.

Key job essentials:

General Administrative Support

Director/Country Director.

  • Manage documentation for transiting staff i.e. work permits, visa application, vaccinations
  • Manage accommodation bookings for visitors and staff in a timely manner
  • Filing and archiving Zambia Office documents on the Action Against Hunger – USA SharePoint
  • Support all units during annual and internal audits

Human Resource Support

  • Record and file staff leave requests as received.
  • Receive, file and upload staff timesheets on Human Resource Information System (HRIS) on a monthly basis

Finance Support

  • Manage petty cash
  • Archive all financial transactions by scanning and filling support documentation on a monthly basis
  • Ensure that office utilities are paid timely

Logistics

  • In charge of all ground transport- taxi Movements for staff.
  • Manages end to end local office procurement.
  • Maintain office running supplies inventory by checking stock to determine inventory level; anticipating needed supplies; requesting for supplies; verifying receipt of supplies.
  • Receive invoices from suppliers and dispatch to Finance.

General

  • Perform any related duties as assigned by the supervisor.
