Job Description:

The Coordinator of Bids & Proposals will source procurement opportunities and lead the preparation and submission of winning proposals. In this role, the Coordinator of Bids & Proposals will work with cross-functional proposal team members to help respond to Request for Proposals (RFPs), Request for Quotations (RFQs), Requests for Information (RFIs) and manage the proposal development process to ensure on-time delivery of compelling, compliant, and well-written proposals . The position involves researching, writing, and producing a high volume of client-facing documentation on behalf of our company in support of an array of our products.

Role and Responsibilities: 

  • Review bid invitations and requests for proposals (RFPs) to understand client requirements and specifications.
  • Act as the central point of contact on assigned proposals, and lead and guide the work of the Bids and Proposals team
  • Coordinate and collaborate with cross-functional teams, including sales, project managers, and subject matter experts, to gather necessary information for bid proposals.
  • Prepare and compile bid documents, ensuring accuracy, completeness, and compliance with client requirements.
  • Direct proposal kickoff and debrief meetings, as well as prepare detailed proposal plans, schedules, outlines, and compliance matrices for all phases of proposal development.
  • Conduct thorough reviews of bid proposals for clarity, consistency, and adherence to internal guidelines and standards.
  • Coordinate and manage the bid submission process, including organizing necessary supporting documentation and ensuring timely submission.
  • Conduct research and market analysis to understand competitive landscape and industry trends for effective bid proposal preparation.
  • Collaborate with the sales team to develop persuasive and compelling bid content, including value propositions, executive summaries, and response narratives.
  • Provide input and guidance on pricing strategies, ensuring competitiveness and profitability.
  • Assist in identifying opportunities for process improvements and efficiencies in bid proposal development and review processes.
  • Maintain accurate records and documentation of bid proposals, outcomes, and lessons learned for future reference and analysis.

Qualifications and Education Requirements

  • Bachelor’s degree in business administration, marketing, or a related field.
  • Education in Project Management and Business Development will be an added advantage
  • Proven experience in bid proposal development, review, and management.

Knowledge / Skills

  • Strong understanding of bid processes, RFP requirements, and the bidding lifecycle.
  • Excellent written and verbal communication skills, with the ability to create persuasive and coherent bid proposals.
  • Exceptional attention to detail and the ability to manage multiple bids simultaneously.
  • Strong analytical and research skills to gather and interpret data for bid preparation.
  • Proficiency in MS Office applications, including Word, Excel, and PowerPoint.
  • Collaborative mindset with the ability to work effectively in cross-functional teams.
  • Strong time management and organizational skills, with the ability to meet tight deadlines.
  • Knowledge of the industry or market related to the organization’s services/products is advantageous
