Donor Relations & Campaign Supervisor Free Haven Community Initiative

Position Description:

Are you passionate about fostering meaningful connections between donors and impactful causes? We are seeking a dynamic and experienced professional for the role of Donor Relations and Campaign Supervisor at Free Haven Community Initiative. This role requires a strategic thinker with a minimum of two years of experience in donor relations and social media, proficient in Canva, and possessing a degree in Communications and Marketing or Donor Relations. The successful candidate will have a proven track record in international relations, having worked for an international company, and significant experience in planning and executing successful campaigns and events.

Position Requirements:

Minimum two years of experience in donor relations and social media.
Proficiency in Canva for design purposes.
Experience in international relations.
Degree in Communications and Marketing or Donor Relations.
Knowledge of Squarespace or other website platforms
Previous work experience with an international company.
Demonstrated experience in planning and executing campaigns and events.
A member of the Zambia Institute of Marketing (or willing to become one)

Your role:

Sponsor and Donor Communication and Engagement:

Initiate and manage the welcome email process for new sponsors and donors on an ongoing basis.
Conduct annual outreach to sponsors to assess their preferred level of engagement with their assigned students, ensuring their expectations are met annually in October.
Administer the annual survey for sponsors, collating responses in August for data analysis and strategy improvement.
Regularly communicate with sponsors regarding outstanding balances for the current year, ensuring timely resolution before November 1st.
Utilize data from Sponsorship Communication surveys to update sponsors based on their communication preferences (Monthly, Termly, Quarterly, etc.).

Collaboration with the Project Supervisor and Director of Operations:

Assist Project Coordinators/supervisor in obtaining thank-you letters and artwork from students for sponsors on a monthly basis.
Work closely with the Project Supervisor to ensure the Google Drive Folder for each student is regularly updated with necessary documents, reports, and follow up on missing items monthly/termly.
Collaborate with Project Coordinators to identify Students of the Month on a monthly basis.
Regularly update and maintain Master Lists in the Sponsorship Folder in collaboration with the Executive Director and/or Director of Operations.

Capturing, Editing, and Posting FHCI Pictures and Videos:

Coordinate with students during term holidays and school terms to capture, edit, and post pictures and videos for sponsors, social media, and the FHCI website on a weekly and monthly basis.
Organize and edit pictures of Extra Lessons, Feeding Program, and all events and programs, including holiday programs, and upload them to their respective Google Drive Folders.

Social Media and Content Creation:

Design monthly social media schedules a month in advance, collaborating with the Executive Director for review on a monthly basis.
Regularly write, create, and schedule posts, stories, videos, and other content on all FHCI’s social media accounts (Facebook, Instagram, TikTok) in alignment with the social media schedule on a weekly basis.
Design Canva posters, packets, brochures, and flyers for social media and fundraising purposes on a monthly basis.
Create TikToks/Reels of students and FHCI programs for social media on a monthly basis.

Filing and Record Keeping:

Maintain an organized record in Excel, grouping sponsors with their corresponding sponsored students.
Regularly update the Student Sponsor Master List and List of Students who Need Sponsors.
Keep FHCI’s donor/sponsor database updated with current information on an ongoing basis.
Keep a record of new donor/sponsor emails on a monthly basis.

Update the Website/Fundraise Up:

Regularly update payment plans in Fundraise Up as needed.
Update the sponsorship page on FHCI’s website with information about students who need sponsors or when sponsors are found for students, including university students, on an ongoing basis.
Periodically update the website with changes, monthly student waiting times, and content at the beginning of each term.
Update the Sponsorship Page of the website at least once a month at the end of each month.

Campaign Supervision and Fundraising:

Create and manage a new page on the website for campaigns in April, August, and November, removing the pages after each campaign.
Develop elements in Fundraise Up for campaigns, including donation buttons and bars.
Generate fundraising elements and links in Fundraise Up for peer-to-peer fundraisers.
Create a “Renew your sponsorship” element in Fundraise Up in July, updating the Sponsorship Page of the website at the end of July.
Oversee and coordinate all aspects of FHCI’s fundraising campaigns and events, including the Virtual Silent Auction/Education Campaign in June, Back to School Sponsorship Campaign in September, and Giving Tuesday Campaign in November.

Salary Range: K5000-K6000
