Job Title: Research Assistant

Department: Monitoring and Evaluation

1. PURPOSE

The purpose of the assignment is to digitize hard-copy files into a unified electronic data depository that will ease access to program data and information on key program aspects such as students’ attendance and performance. The Research Assistants will enter data from paper-based source documents into electronic format.

2. BACKGROUND

The main purpose of the terms of reference is to digitize data so that most of the key indicators related to the country’s strategy and programming will be done and tracked in real time. This will help in maintaining easy access to information. The main issue we are currently having is the lack of a proper data visualization system and harmonized tracking mechanism for key program indicators.

In line with the 2021- 2026 strategic plan and priorities, the organization seeks to increase on data availability, access, and utilization through visualized summaries of key information and program statistics in key areas such as attendance, student performance student progression, and all relevant personally identifying child information. This will help to make data readily available as well as progress made on key indicators for various programs.

3. Objective

The overall objectives of the assignment are to identify and recruit 4 Research Assistants who will provide a combination of administrative, program, and research support services for the Monitoring Evaluation and Research (MER) department. The Research Assistants will support the department in carrying out programmatic and research functions on the other hand in the delivery of demand-driven activities involving data gathering, recording, and reporting as well as ensuring that data collection tools are working effectively. Generally, works to foster quality control in the collection and management of the collected data.

4. Scope

The Research Assistants will primarily be responsible for supporting the MER department in gathering accurate & credible data on system subjects, ensuring the quality of data and systems, conducting research, analyzing results and supporting system automation, and executing any other tasks that may be deemed necessary during their tenure of engagement.

Specific Tasks and Activities

Data Entry

Enter performance data from 21 legacy academies
Enter mid-line Reading Literacy Assessment (ORCS) data from 21 legacy academy
Any other related tasks that may be needed during their tenure

Data Quality Control (QC)

Conduct checks on the collected data to ensure it meets the overall quality goals and defined quality criteria for individual values and the organization standards
Maintain quality control standards to preserve the integrity of data and findings

Automation Support

Support the MER department’s various automation as it works to transition the organization’s data systems from paper/manual to electronic/digital
Support the department’s research and strategic focuses in system automation.
Support the development of systematic processes to contribute to the activities of MER positively. Support the development of program or activity Dashboards for analysis purposes. Actively participate in the refresher training in Moodle Learning Management System

Administrative Support

  • Assist the MER department in the preparation of narrative status reports when needed
  • Attend all departmental meetings as required
  • Perform other MER tasks as assigned by the MER Manager or his designee

5. Timeline

The project is expected to take about three (3) months and all tasks (including the incorporation of the feedback) should be completed by the end of April 2024.

7. Reporting and administrative arrangements

  • The Research Assistants will report to the MER Manager and will give weekly progress reports on designated tasks
  • The candidates will operate from the Family Legacy Ibex Head Office or the legacy academies, based on the type of tasks and this is subject to review.
  • They may be required to move the station from one legacy academy (school) to another as need be

8. QUALIFICATIONS AND EXPERIENCE

  • Diploma in IMIS, ICT, Computer Programming
  • 2 years’ experience in M&E-related activities.
  • 1-year electronic data collection experience
