The Zambia Institute of Mass Communications (ZAMCOM) was established under the ZAMCOM Act of Parliament of 1996 to provide Communications and Media training and production services. ZAMCOM has recently been undergoing a corporate renewal and is currently implementing a new strategic plan aiming at positioning the organization to becoming financially viable and independent.

As part of its transformation process, ZAMCOM is inviting applications from suitably qualified and experienced candidates to fill in the following position;

RECEPTIONIST

Reporting to the Personal Assistant to the Executive Director

Job purpose

To receive visitors and direct them to the appropriate office as well as handle incoming and outgoing telephone calls in accordance with stipulated guidelines and etiquette. Deliver excellent customer service being the first point of contact for all interactions.

Main Duties

Accept deliveries, mails, invoices organize them to be distributed to the correct recipients using the office mailing system and ensure they get to the recipient in a timely manner.
Manage safety and security of property and documents in the reception area, and ensure there is no congestion at the reception
Manage calls by routing them to the proper extensions or taking messages and delivering them
Ensure internal telephone directory is maintained, and updated regularly
Maintain the reception area, keeping it clean and free of clutter.
Handle filing and data entry as requested
Requisition and maintenance of adequate inventory of office supplies
Ensure quick escalation of any system outages impacting operations & ensure follow up till resolution.
Maintain register of all customer complaints, requests and queries handled (submit Issues tracker monthly)
Any other duties that may be assigned

Qualifications and Skills

Grade 12 Certificate or its equivalent with five (5) Credits, or better including English.
Strong administration skills
Ability to communicate at all levels
Computer literate
Proactive, punctual and reliable
Maintain the highest level of confidentiality and integrity
Ability to deal with people daily and is tolerant of discourteous people, polite but assertive
