JOB PURPOSE

Management of Landlord/Tenant relationship to ensure there is cordial and mutually beneficial affiliations between the Bank and its landlords/tenants. To also prospect, negotiate, acquire and complete conveyancing processes of landed properties on behalf of the Bank for installation of branches, ATMs, residences and other channels as well as manage the portfolio of existing leases and tenancies of the Bank

KEY RESPONSIBILITES

Acquisition and Leasing of Properties for Business installations

Prospect and identify of suitable sites and premises for installation of Business branches, ATMs, Cash Service Points, and other Channel points taking into account all economic, social and physical characteristics of the neighbourhood and the sites or premises.
Render all necessary reports to Business to obtain their approvals on any site or premises identified.
Conduct a snap/summary valuation of any identified suitable property to determine the fair and open market rental or capital values of such properties to serve as a guide for negotiations.
Advise Business on the fair amounts payable for rents and purchases
Conduct negotiations with property owners on the conditions of sale or rent for properties.
Do presentations at Procurement Committee meetings to obtain the approval of the Committee for the acquisition transaction

Management of Leases and Tenancies

Prepare and maintain an up-to-date centralised dataof all leases, tenancies and acquisitions regarding all properties of the Bank.
Prepare and submit Lease Approval Memorandumsfor all new leases, lease renewals, lease terminations, relocations, and leases which had expired but were not renewed.
Conduct a snap/summary valuationto determine the fair and open market rental values to serve as a guide for negotiations for lease renewals.
Engage landlords on negotiations on rents and termsfor the renewals of leases which are due for expiry.
Ensure rents and other obligations owed by the Bank to landlords are discharged on real time with less complaint from landlords.
Do presentation of at Procurement Committee meetingsto obtain approvals for all lease renewals.
Ensure all pre-handing over remedial and repair worksare done timeously for a cordial handing over of vacated premises and site
Conduct of Due Diligence for Property Acquisitions

Obtain, inspect and study all title documentationscovering premises and sites to ensure the Bank deals with right property owners.
Carry out searchesat the Lands Commission and other relevant State institutions to confirm ownership of premises and sites for a secured acquisition by the Bank free from litigations.
Conduct investigations on relevant building and development permits documentations to ensure premises and sites are not adversely affected by inconsistent developmental zonings and schemes.
Carry out ‘know your vendor’assessment on all landlords and property owners and ensure they are on-boarded into the Procurement list of vendors of the Bank
Conveyancing Processes for Property Acquisitions

Draft lease and tenancy agreementsand discuss same with landlords for all lease and tenancy transactions.
Review all lease agreementssubmitted by landlords in collaboration with Legal for all lease and tenancy transactions.
Ensure the finalisation and executionof all lease and tenancy agreements.
Ensure all lease agreements are duly stampedat the High Courts.
Ensure timeous discharge of all obligations of the Bank under leases and tenancies including but not limited to rent payments and service charges.
Ensure compliance with all statutory and legislative requirements and controls relating to lease transactions and property acquisitions
Property Management of Hired Accommodation for Expatriates

Receive complaints from expatriates regarding their accommodation and ensure timeous resolution.
Prepare a schedule of planned preventive maintenance and servicing of facilities within their accommodation.
Develop the scope of work and send to procurement to engage vendor for quotations
Feedback on engagement to be given to the requestor stating action taken.
Assist Procurement with technical evaluation of tenders and advice after quotation/cost analysis.

Bsc. Real Estate/Land Economy

Professional Member, Zambia Institute of Estate Agents

Experience

Years: 3-4 Years

Experience Description:

Good knowledge of the property transactions market.
Property development and zoning regulations.
Firm knowledge in land/property law and conveyancing.
Good understanding of the principles of contract.
Property and Land Valuation.
Good understanding of the Land Management system in Zambia.
Negotiation skills.
Data management, analysis and reporting.
Facilities Management
Landlord-Tenant relationship management.
Dispute resolution
