Assistant Stores Officer & Customer Services Assistant Luapula Water Supply and Sanitation Company Limited

Luapula Water Supply and Sanitation Company Limited is a commercial utility which was set up to provide water and sanitation services to all districts in Luapula Province. The Company was incorporated in December 2008 as a private company limited by shares, subscribed by the Local Authorities, under the Companies Act 2017 of the laws of Zambia. The Company’s mission is to effectively provide water and sanitation services to the urban and peri-urban areas of Lupula Province in a manner that maximizes value for money for all stakeholders. In pursuance of this mission, the Company is seeking the services of suitably qualified and experienced candidates to fill the following vacancies.

Title of Position: ASSISTANT STORES OFFICER (No. Required: 1 )
Department: Procurement Unit

Reports To: Stores Controller

Location: Head Office

Purpose of The Job:

To provide a key supporting role by assisting the Store Controller in ensuring that all day to day operations of the Stores function are carried out in a safe, efficient and cost-effective manner.

 

Key Responsibilities

1. Assist to develop, formulate and implement stocks policies and procedures for the company

2. Contribute to the development and reviews Stores Procedures Manual to ensure compliance and efficiency of stores management.

3. Monitors sct stock levels and raise purchase requisitions to ensure efficient and effective inventory management Identify and compiles slow moving stock items for superior’s action

4. Initiates Purchase requisitions for materials that have reached Re-order level.

 

5. Conducts physical verification of materials against suppliers’ documents and purchase Orders.

6. Receives materials from suppliers as specified on purchase order/contracts

7. Issues materials to user departments as per approved stock requisitions

8. Keep records of all received and issued (materials on direct use) items for reference purposes. Updating stores records accordingly and preparing stock taking on quarterly basis. Keeping accurate records of stocks, and ordering stocks of items indicating low levels.

9. Conduct physical count of materials in stock and post totals to inventory records.

10. Prepare documents and materials for returns where need arises

11. Contribute to the development of effective safety and security measures for stocks.

12. Identify redundant and obsolete stocks for disposal to superior

13. Manage and encourage staff, optimizes their outputs and effectively manages relationships in order to achieve organizational goals

14. Undertake and agree to performance targets and conduct appraisal for all staff under his/her supervision

15. Prepare accurate routine stores and special reports required by the supervisor on a monthly basis for management’s decision making

16. Perform any other duties as delegated by superiors.

QUALIFICATIONS AND EXPERIENCE
1. Bachelors of Business Administration Purchasing/Economics or equivalent

2. Member of the Zambia institute of Purchasing and supply

3. 3 years of experience in a similar role.

SKILLS SPECIFICATION

Developed leadership and management skills; Strategic Business planning skills Ability to analyse documents in order to verify compliance. Ability to identity trends in stock holding levels and usage and take appropriate action.

Title of Position: Customer Services Assistant
Department Commercial Services

Reports To: District Manager

Purpose of The Job: To receive and resolve customer queries

Key Responsibilities

1. Receives complaints and logs them in the management information system to ensure complaint registration

2. Follow up and resolves complaints, which are within their jurisdiction and refer complex ones to the superior officer in order to ensure customer satisfaction.

3. Opens accounts for approved water and sewer connections and unregistered properties to ensure increased billing

4. Courteously handles customers by upholding customer etiquette.

5. Reconcile customer’s accounts and raise adjustments where necessary

6. Closing resolved complaints

7. Analysing NRW complaints (Accounts in credit, system generated complaints)

8. Amending customer records

9. Calling customers (feedback to complaints)

10. Provide reasonable assurance on matters that require immediate action

11. Read meters accurately and timely

12. Maintain and update customer and office meter reading cards

13. Distribute bills timely

14. Performs any other duties as delegated by superiors.

Qualification and Experience:

Grade 12 Certificate
Certificate in Business Studies or equivalent.
One year experience.
