Public Relations Manager Zambia Postal Services Corporation

Reporting line:  Postmaster General
Purpose of Role
The Zambia Postal Services Corporation Public Relations Manager is responsible for managing and maintaining the public image and reputation of the Postal Service. They develop and implement strategies to enhance public perception, promote positive public relations initiatives, and manage media relations. The Public relations Manager ensures effective communication between Zampost, its stakeholders, and the general public.
Duties and Key Responsibilities

Develop and execute public relations strategies: Create comprehensive strategies to strengthen the Zampost’s public image, outline goals, and identify key messages. Implement PR campaigns and initiatives to achieve desired results.
Manage media relations: Establish and maintain positive relationships with media outlets, journalists, and influencers. Respond to media inquiries, coordinate interviews, and proactively pitch stories to generate positive coverage. Prepare statements, press releases, and media kits as needed.
Crisis Management: Develop and implement crisis communication plans to effectively handle negative incidents that may impact the Zampost’s reputation. Act as the primary spokesperson during crises, providing timely and accurate information to the media and the public.
Develop and distribute communication materials: Create and oversee the production of communication materials such as press releases, newsletters, speeches, and presentations. Ensure messaging aligns with Zampost’s objectives and core values.
Stakeholder engagement: Build relationships with stakeholders including customers, employees, Government agencies, and industry partners. Coordinate engagement activities, such as events, conferences, and meetings, to foster positive relationships and promote Zampost’s mission.
Monitor and analyse media coverage: stay abreast of news and media trends relevant to the Postal Services. Monitor media coverage and social media channels to identify potential issues or negative sentiment. Conduct media analysis to assess the effectiveness of PR campaigns and adjust strategies as needed.
Coordinate with internal departments: Coordinate with internal departments, such as marketing, customer service, and operations, to ensure consistent messaging and alignment in external communications. Provide guidance and support in public relations matters to various teams and individuals, as needed.
Budget management: develop and manage the public relations budget, ensuring resources are allocated effectively to achieve PR objectives. Monitor expenses, track campaign costs, and maintain financial records.

Qualifications/Requirements

Bachelor’s degree in Public Relations, Communications, journalism, or a related social science field. Advanced degree is preferable.
Proven experience in public relations, media relations, or related roles would be an added advantage.

Knowledge and Skills

Strong written and verbal communication skills, with the ability to adapt messaging for different audiences.
Excellent interpersonal and networking abilities to establish and maintain relationships with stakeholders.
Crisis management skills and the ability to handle high pressure situations
Proficiency in media monitoring and analysis tools.
Familiarity with public relations strategies and tactics, including digital PR and social media.
Knowledge of the postal industry and related regulatory frameworks is a plus.
Strong organisational skills, with the ability to handle multiple tasks simultaneously.
Attention to detail and accuracy in all communication materials.
Ability to work independently and collaboratively within a team.

Key Responsibilities: Places accurate feed requests to be fed at the site daily and accurately compiles and submits the daily feeding record form. Ensures that floating mortalities are collected, counted, and taken to the harbour for disposal by the mortality collection team and ensures that non floating mortalities are counted and recorded. Monitoring of the nature, number and increases or decreases in mortalities on individual cages and report abnormalities immediately to the feeding superintendent. Ensures that feeders use correct feed type to feed fish. Trains feeders on the best feeding and fish handling techniques to limit fish stress and feed wastage. Assigns tasks and evaluates the performance of each feeder on site providing feedback on closed cage results to the team. Ensures that feeders feed fish properly to obtain a maximum growth rate and minimum FCR. Carries out daily checks on each cage and conducts weekly reviews of each unit’s feeding performance. Reports any issues experienced on a cage including damaged nets, cage tampering, damaged cages, mooring problems, net anchors missing, poor net shape, platform damage, missing ropes, pests, bird net damage, Centre buoy damage, mooring buoys damaged, etc. to the feeding Superintendent. Reports any arising issues about feeding including: sick fish, reduced feeding responses, drops in feeding, gasping fish, slow growth, faster growth, low fish number, fish outside of cage etc. to the feeding Superintendent. Responsible for coming up with solutions for problems encountered on site and conducting minor repair work including bird net repairs, rope splicing, pest control etc. Responsible for taking water quality parameters (DO and temperature) on cages with high biomass, abnormal feeding and fish behaviour and taking appropriate actions Ensures correct quantities of feed are fed and recorded on feeding documents. Reports any poor quality (floatability, high dust, pellet size, moulded feed) feed type to the feeding Superintendent and takes samples of the feed to the lab. Ensures feed is not wasted at any time. Ensures that empty sacks are well packed in rolls of 10, documented and transferred to the harbour daily with the number matching the number of full feed bags received for the day. Settles complaints, disputes and any misunderstandings that may arise at the site. Plans leave and off schedules of the team accordingly ensuring sufficient cover and that leave does not accumulate. Conducts daily toolbox safety talks with the feeding team. Ensures that Yalelo policies and procedures are always observed and adhered to by the team members.
