In partnership with the Swedish International Development Cooperation Agency (Sida), TechnoServe is preparing for a 3-year intervention, Food Enterprises for a Developed Zambia (FED). The intervention aims to improve the efficiency, profitability and growth of food processing SMEs and contribute to a stronger and more inclusive sector in the country.

  1. Job Description

Major Responsibilities

  • Assist in all administrative duties at Savoury Acres Processing Limited
  • Support Savoury Acres Processing Limited sales team
  • Conduct all receptionist duties at Savoury Acres Processing Limited
  • Receive further mentorship and assist in administrative duties at Savoury Acres Processing Limited

Overall responsibilities include:

  1. Business operations duties
    • Track operational revenue and expenses for Savoury Acres Processing Limited
    • Implement and improve operational procedures for Savoury Acres Processing Limited
    • Analyzing and maintaining operational data, and monitoring product inventories
    • Monitoring adherence to policies and processes throughout the company
    • Ensuring positive client, supplier, and vendor relationships
  1. Business administration duties 
  • Provide admin support including document creation, note and minute-taking, correspondence and light research)
  • Maintain office equipment and electronics
  • Oversee vendor scheduling
  • Manage petty cash

 

  1. Support sales team
  • Support sales and business staff daily with ad hoc projects.
  • Create invoices and process customer payments
  • Call vendors to check on orders, schedule deliveries and coordinate payments

 

  1. Receptionist:
  • Manage front reception area in a clean, organized, and professional way
  • Answer phones, take messages and direct calls as needed
  • Coordinate incoming business correspondence and distribution
  • Maintain security by logging visitors to office

 

  1. Required Skills & Experience:

 

Candidates applying should possess the following requirements:

  • Zambian citizen or right to work in Zambia
  • Degree in business studies such as Business Administration & Management, Marketing, or related field.
  • Experience working in a similar role as an Admin Assistant/Intern.
  • Knowledge of or experience working in food processing industry in Zambia an advantage
  • Proficient computer skills in business software (Excel, MS Project and PowerPoint)
  • Strong analytical skills including in written form
  • Excellent interpersonal and oral and written communication skills
  • Ability to self-start and to generate innovative solutions in work situations
  • Fluency in English required, with knowledge of local languages an advantage
