Program Management Coordinator Centre for Infectious Disease Research in Zambia (CIDRZ)

Reports to Project Director. The incumbent will support in the design, development, implementation, management, monitoring and evaluation of programs implemented under the Department of Defence (DOD) Project. This includes supporting Defence Force of Zambia (DFZ) HIV/AIDS Secretariat in the development of annual work plans & budgets and annual reports.

Main duties

  • Facilitates annual and quarterly workplan development process for DFZ that defines project activities to implement project strategies in collaboration with the project Director and DFZ HIV/AIDS Coordinator at the DFZ HIV/AIDS Secretariat.
  • Supports DFZ to develop annual budgets for the DOD project activities based on the approved DOD work plan
  • Provides program support to the DFZ HIV/AIDS Secretariat; including capacity building in preparing proposals
  • Conducts routine monitoring of project’s budget and schedules in compliance with DFZ and CIDRZ internal project monitoring systems
  • Coordinates the DFZ DOD comprehensive project performance reviews
  • Supports DFZ in tracking progress in reaching project goals/ objectives and deliverables
  • Maintains project risk log and coordinates risk monitoring plan in line with the DOD Risk plan
  • Ensures DFZ activities are implemented in compliance with the donor requirements
  • Supports DFZ in maintaining the project’s equipment inventory for all facilities
  • Collaborates with project’s SI Manager to ensure timely and accurate project reporting.
  • Maintains electronic filing system for assigned programs
  • Establishes and convenes meetings with stakeholders as specified by CIDRZ and stakeholders and monitors the risks and issues they identify, while submitting newly identified risks to the Project Director for consideration and decision making as required.
  • Supports DFZ in ensuring regular participation in the MOH TWG meetings
    Identifies and sources necessary technical expertise (among the stakeholders) and support to realize project deliverables.

Qualifications

  • Minimum of Diploma in Health Sciences
  • Must have preferably managed the Defence Force of Zambia HIV/AIDS Program
  • Atleast 10 years working experience. Preferably in the HIV/AIDS program in Defence Force
  • Must have ability to coordinate with Senior Officers and Command in the three wings of the Defence Force of Zambia
  • Clear understanding of DFZ operations (Must have preferably passed through Staff College)
  • Preferably retired
