Administration And Procurement Support Officer Transbantu Association Zambia

The Administration and Procurement Support officer is responsible for processing purchase orders, requests and ensuring compliance with relevant policies and procedures. The Administration and Procurement Support provides information to staff in relation to purchasing processes and payment of requests. This position will also be required to assist with other areas of administration including fleet management and general administration duties.

 

 

Responsibilities

Respond to inquiries

• Monitoring and maintaining office equipment, inventory; orders and replacement of supplies.

• Manage the repair and maintenance of office equipment

• Manage all utilities bills including general maintenance

• Manage procurement in line with procurement policy and contractual relation with suppliers

• Manage the security, filing and storage of documents

• Maintain insurance coverage

• Assist with preparation and administering of contract documents

• Maintain the leave management system

• Preparing travel arrangements for office staff and managers; overseeing and preparing expense reports and budgets

• Organizing special functions and social events

• Preparing correspondence, documentation, or presentation materials

• Processes purchase orders and requests ensuring compliance with relevant policies and procedures.

• Provides services that deliver fast, timely and effective support and advice to all staff with regards to purchasing and payment of requests.

• Provides administrative support to the team and contributes to the implementation of continuous improvement in all processes.

• Assists with administrative duties as required including fleet Management which may require travelling between TBZ offices, safe spaces and facilities

• Undertakes other duties, as required

Qualifications

Grade 12 School certificate ● Diploma/Degree in business administration ● Certificate in procurement ● Community work experience

● Any other relevant supporting document
