Location: Luapula Province (Mansa Provincial Office) Northern Province (Kasama Provincial Office)

QUALIFICATIONS AND EXPERIENCE

Required Minimum Required Qualifications:

  • Ordinary level (GCSE)/ Grade Twelve
  • Diploma in Business Administration, Logistics and Purchasing / Stores Management /Office Administration
  • Must have Graduated NOT Earlier than 2020.
  • Proficient in Microsoft office packages.

Desirable Qualifications and Experience:

  • Degree in Business Administration/Office Management or any other related discipline.
  • Must Have graduated NOT earlier than 2020.
  • Advanced Microsoft Office competency in Word, Excel, PowerPoint, Outlook
  • Ability to communicate in English and correspond professionally in writing and verbally.
  • Previous Volunteer or internship Experience working in office administration, stores management or logistics will be an added advantage.

TECHNICAL AND BEHAVIOURAL COMPETENCIES

  • Customer Orientated.
  • Good Interpersonal skills.
  • Good time management skills and ability to determine priorities.
  • Professional Ethics.

KEY PERFORMANCE AREAS

  • Occasionally give support to the Administrative Assistant (AA) in monitoring general cleanliness of offices and surroundings to ensure a clean work environment.
  • Provide support to AA towards facility office filing system, both hard copies and electronic record system.
  • Support AA in updating databases for all key Facility Stock Custodian contact details.
  • Support the Admin depart to receive and distribute facility stocks.
  • Support admin in creating space for safe storage of facility supplies awaiting distribution to the end users and field offices.
  • Support Administration is allocating transport or staff meetings and site visits.
  • Attend and direct visitors to the respective staff.
  • Support administration is supervising vendors and ensure the completion of work certificate is signed before invoicing.
  • Ensure all delivered items/goods are received in accordance with the RTC goods received SOP.
  • Support Admin in updating all stores records and inventory items, facilitate issuance of all stocks after approval from Supervisor.
  • Support Admin to preparation monthly facility-based stock reports for Provincial Administration and Logistics Coordinator review
  • Support coordinating facility stock cards and ensure they are fully completed.
  • Support the administration Assistant is updating the asset panda system with all stock records.
  • Support Administration in updating facility register of company assets.
  • Support Admin team in tracking and maintaining company physical assets.
  • Support Admin and finance team in tagging asset numbers to all new assets and ensure they are branded in accordance with RTC branding policy.
  • Support Admin with tracking and ensure timely servicing time for office equipment (Printer/ Aircon, genset etc.)
  • Support in administration with consolidating all required documentation for insurance claim purposes.
  • Support Admin in formalization of asset transfers forms as per company policy and guidelines.
  • And any other assigned duties by the supervisor.
