JOB PURPOSE & DIRECT REPORTING:

The main function is to assist the Administrative Office to ensure that administrative and operational tasks are completed accurately and timely and that the business support services are functioning efficiently. Under the overall guidance and supervision of the Administrative Manager, the AOA works with the Administration Team and other staff to effectively deliver administratively and support services in all areas that ensure smooth operations of day to day activities of the company.

KEY RESPONSIBILITIES:

Besides other duties and responsibilities that include those detailed under the Job Description, you will be responsible for:

Actively participating in achieving overall maintenance and safeguarding of the physical company facilities and properties in a condition of operating excellence and safety so that full use of them may be realized at all times
Assist with the maintenance of fixtures, fittings and records of any maintenance issues for subsequent actions
Compile and submit appropriately assigned reports in a timely manner to assist in decision making
Assisting in wider administrative tasks including the preparation of supplier schedules and payment trackers, support to the maintenance team and to other departments whenever requested and necessary.
Assist in the preparations of school corporate events, extra-curricular activities and PTA functions by ensuring all logistical requirements are met
Ensuring proper record keeping for all departmental activities
Assisting in procurement processes for assigned areas and requirements based on the Company procurement policy and guidelines
Assist in dealing with outside product and service providers such as contractors, suppliers, government agencies, etc. to uphold a professional and positive image of the Company
Monitoring and tracking inventory levels and costs of various items under the office of Administration
Initiate and perform clerical and transactional tasks that aid the daily business operations of the company
Collaborating with Admin superiors to design strategies for guiding employees and processes so as to maximize company efficiency
Enhance efficient information flow within the Company to facilitate smooth business operations
Any other tasks within the realm of the job as may be assigned from to time
QUALIFICATIONS AND EXPERIENCE:

Bachelor’s Degree in Business Related Fields such as – Business Administration, Operations Management, Economics, Project Management, etc.
No work experience is required but maybe an added advantage.
